Pine Haven Lodging Policies

2027 Reservations: Final balances are due 30 days before check-in. All payments become non-refundable at that time.

Check-In / Check-Out

  • Check-in begins at 4:00 PM

  • Check-out is at 10:00 AM

If arriving after office hours, please call.

Office Hours

  • Before Memorial Day: Office closes at 6:00 PM

  • Memorial Day–September: Office closes at 7:00 PM

  • October–November: Office closes at 6:00 PM

Early check-in may be available for an additional fee, due at the time of check-in. Please note:

  • Check-in before 2:00 PM is not available

  • Early check-in is not guaranteed

  • Fees apply for all approved early check-ins

To inquire about early check-in, please call the morning of your reservation.

Late check-out is not available. A fee of $70.00 per hour will be charged for every hour a cabin or RV site is occupied past check-out time.

Quiet Hours

Pine Haven observes property-wide quiet hours to ensure a peaceful environment for all guests and surrounding neighbors.

  • Cabins: 11:00 PM – 7:00 AM

  • RV Sites: 10:00 PM – 7:00 AM

All guests are required to comply with quiet hours. Failure to do so will result in the following actions:

  • First violation: Verbal warning

  • Second violation: $100.00 fine

  • Third violation: Removal from property without refund

If law enforcement is contacted due to excessive noise, property damage, or criminal activity, a $250.00 fine will be charged to the card on file.

We appreciate your cooperation in helping maintain a respectful and enjoyable atmosphere for everyone.

General Property Policies

  • All Pine Haven buildings are non-smoking. If smoking occurs inside, the guarantor will be charged any fees required to remove smoke odor and stains.

  • We reserve the right to move your reserved unit/site at any time for any reason.

  • Pine Haven Venue & Lodging is not responsible for lost or stolen items.

  • PHVL is not responsible for injury to persons or property occurring on Pine Haven property or as a result of any event occurring on the property.

  • PHVL is a public resort that often hosts events. Please be respectful of all guests. PHVL management reserves the right to dismiss any guest at any time, for any reason.

  • Rates and policies are subject to change and may vary during high-impact periods.

  • Outside alcohol is not allowed in the venue space, patio, or lawn.

  • Firewood must be purchased from the front office for $8.00. Outside firewood is not permitted due to the risk of Emerald Ash Borer transfer.

  • Fires must be fully extinguished by 11:00 PM.

Reservation & Payment Policies

  • A one-night, non-refundable deposit per cabin or RV site is charged to the card on file at the time of reservation.

  • Cabins and RV sites are reserved on a first-come, first-served basis and will not be held without a first-night deposit.

  • The remaining balance will be charged automatically to the card on file the morning of check-in.

  • If you need to update the card on file, it must be changed before the day of check-in.

  • No refunds will be issued on the day of check-in.

  • Any changes to your reservation must be made at least 7 days prior to check-in.

  • This 7-day modification policy does not apply during Sturgis Rally.

  • No refunds will be issued for Rally reservation modifications made after May 1st.

Cabin Policies

  • Cabin guests are responsible for any destroyed or missing linens, pillows, towels, appliances, or furnishings.

  • A $250.00 cleaning fee will be charged if additional cleaning is required.

  • Housekeeping is family-style. Rooms are not cleaned daily but may be refreshed upon request.

  • Refresh service includes replacement of towels or bed linens.

  • Full-service cleaning prior to checkout is available for $70.00.

  • Children are welcome with an accompanying adult.

  • Sleeping in camper vans, truck campers, RVs, or any vehicle on Pine Haven property is prohibited for cabin guests. If this occurs, the card on file will be charged the RV site rate.

Pet Policy

  • Dogs are the only pets allowed in cabins

  • Pets are only allowed in designated pet-friendly cabins

  • Pet fee: $35.00 for the first dog, $20.00 for each additional dog, per night

  • Pet fees apply to cabins only and do not apply to RV sites

  • Guests are responsible for any pet-related damages

  • Guests must pick up after their dogs or a $25.00 fee will be charged

  • All dogs must be kept on a leash or a $50.00 fine will be added to the reservation

Pet-Friendly Cabins: 14, 16, 17, 18, 19, 22, 24, 25, 26, 27, 28, 36

If pets are kept in non-pet-friendly cabins, a $200.00 fee will be charged to the card on file.

Covered Wagon Policy

  • No pets allowed in Covered Wagons

  • A $300.00 fee will be charged to the reservation if pets are brought into a Covered Wagon

Cancellation Policy

If your travel plans change and you must cancel your reservation, our policy is as follows:

  • Cabins & RV Sites: Deposits are non-refundable

  • Sturgis Rally Reservations: A 3-night minimum stay and 3-night deposit are required

For Sturgis Rally reservations:

  • Deposits are non-refundable

  • Remaining balances will be charged to the card on file on May 1st

  • Reservations made after May 1st will be charged the full amount when booking

  • If a cabin or RV site is canceled after May 1st, all charges are non-refundable

All remaining balances will be charged automatically on the day of check-in using the card on file.
